Airport transportation for arriving attendees and exhibitors
Business travelers making their way to an out-of-town convention center sometimes travel individually, but in many cases coworkers choose to travel in large or small groups. Either way, it can be difficult to find transportation from the airport to nearby hotels and other locations that are close to the downtown area if you wait until the last minute, so make sure to book your airport transfer before your trip. Even though you can often get around town by using the city’s public transportation system, if you are traveling with large items for your event along with luggage then you may want to consider scheduling a private vehicle such as either a private sedan or a private shuttle van which will help provide you some extra room for your belongings so that you can get around more comfortably and easily.

When a conference begins, the area near the convention center can often become quite busy. Getting around can become difficult and confusing if you are not prepared. It’s a good idea to get to know the area you are traveling to before you arrive so that you can find the things you need while you are away from home. For example, if you want to avoid spending extra fees when you withdraw cash then research the area to see if there is branch of your bank with an ATM nearby. If you want to avoid over spending for items such as toiletries, detergent or even extra clothing then get to know the surrounding area before you book your hotel room. You may find it difficult to find a store close to your hotel, especially on Sunday, so it is very helpful to know where everything is before you leave for your trip.

Exhibits and meetings at convention center

Things you can do before and during your trip to a conference
The next time you have to travel out of town to attend an event or trade show at an exhibition venue you’ll no doubt want to be as prepared as possible. With so many things to mark off of your pre-travel checklist, here are a few that you may or may not have thought of:

Ways to prepare for your next trade show
→ A lot of conferences are now offering online registration and some even allow you to confirm your attendance online by email. Check with your event coordinator to see if this service is available at your next event.

→ If you have a booth, you can offer information to conference attendees more easily by making your materials available to them as electronic media. For instance, try offering a flash drive for attendees to take with them, which contains more information about your company and its products and or services.

→ If Wi-Fi is a hassle, costly, or you are not getting enough bandwidth to run your presentation at your booth then you could consider making an Adobe After Effects presentation or a video of your presentation that you can launch from your electronic device’s hard drive. You can also bring in your own Internet hotspot and get connected with Wi-Fi–enabled devices such as tablets and laptops. You will be able to have a private and secure connection to your devices and, additionally it can be used while you are at the airport or your hotel room for a more secure way to get on the Internet during your travels.

→ Many Convention Centers have a food court, vending machines and coffee bars available on-site but if you are looking for something different be sure to map out the area before you travel so you are not wandering aimlessly around town.

→ It helps to get a detailed layout of the Convention Center before you leave for your trip. Many venues are large and you could easily find yourself getting lost if you aren’t familiar with the floor plan.

→ If your group is using Apple devices you can download an app called "Find My Friends" or it may already be installed on your iPhone or iPad. This app will allow you to easily find your coworkers or friends on your device so you are aware of where they are if you need to meet up or need to check on their status without disturbing them during an information session. You can find a link to the app here at Find My Friends.

→ Use your mobile phone to help you navigate through a new city. You can go to Google Maps and have it recognize your current location so you can view the various businesses, restaurants, etc. around your vicinity. You can even use it to take a picture of your parking spot number or hotel room number so that you can easily find it quickly without having to memorize them.

→ Make sure that all of the details of your event are in order. For instance the schedule of a presentation you are giving, knowing the location and dimensions of your booth, and if there are any special requests that you need regarding your equipment such as telecommunications, audio and visual including any storage. In addition be prepared to show your Certificate of Insurance, if needed, for your business.

Airport rides to convention centers

Airport transportation to and from the convention center
Once you arrive at your destination city for a convention center there are many ways you can utilize for quick, easy and cost effective transportation. The best option for you mostly depends on the size of your group, how much baggage or displays you are carrying with you, and of course cost. Below are examples of vehicles we have available near most convention centers for travelers to get to and from their hotel and the local airport.

Convention center airport rides
Shared Ride Vans
Many shared ride vans can accompany up to 12 passengers per vehicle. This type of shuttle can be one of the best ways to save on your ride if you are traveling alone or with 1 or 2 other people because it will group passengers together who are traveling at the same time as you. There may be a few stops along the way but typically the shuttle company tries to group people together who are going in the same general direction when possible.

Convention center airport shuttles
Private Vans
Passengers of private shuttle vans will have a more direct route to their destination because only their group will be aboard the shuttle so there would be no additional stops. In addition you can load more baggage and displays if you have fewer than the maximum number of passengers on the shuttle. Private vans have a capacity that usually ranges from 8-12 passengers per vehicle.

Convention center airport sedans
Private Sedans
If your group is too small for a private van but you still want a private ride an executive private sedan may be a good option for you. This is a great choice for business travelers who want a direct route with a door-to-door drop off and a professional chauffeur who can attend to their needs.

Convention center airport SUVs
Private SUVs
The service is similar to a private sedan except a private SUV has the ability to hold more passengers and luggage for airport transfers.

Convention center airport limos
Stretched Limousines
One of the best ways to travel in luxury and style is with a stretched limo. There are usually more amenities that can be offered during your ride in a limo. You can check before your trip or when you meet your private chauffeurs to find out what services are offered. A stretched limousine will typically transfer between 6-8 passengers comfortably but can vary by provider.

Convention center airport chartered buses
Chartered Buses
If you find yourself traveling with a large group, of 40 or more, then traveling to the convention center or hotel together may be more cost effective with a chartered bus. With a large amount of luggage room and enough space to transport between 40-52 passengers this vehicle is great for keeping your group together in one place.
